1. Call or chat volume per month.

2. Domain specificity (your business jargon, products, exceptions).

3. Required integrations (your CRM, calendar, telephony stack).

Off-The-Shelf Wins If

Volume is under 500 interactions per month, domain is generic (basic booking, FAQ), and integrations are standard. Platforms like PolyAI, Synthflow, Air, Vapi cover this well.

Custom Build Wins If

Volume is over 1,500 interactions per month, domain is specific enough that off-the-shelf agents misroute, or you need integrations with niche platforms (DMS, EHR, vertical-specific software).
